DF Accounting Ltd is the data controller for the personal information described in this policy. We are registered in England and Wales, Company No. 15137068, supervised by HMRC as an Accountancy Service Provider for Anti-Money Laundering purposes, and registered with Companies House as an Authorised Corporate Service Provider. Depending on our relationship with you, we may hold: your name, address, date of birth and contact details; identity documents such as a passport or driving licence; your National Insurance number and Unique Taxpayer Reference; company and officer details; bank statements, invoices, receipts and other financial records; payroll data where that service is provided; and correspondence between us.
Where we act for a company, we may also hold personal information about its directors, people with significant control, employees and, occasionally, its customers or suppliers. Where you provide us with information about another person, you confirm you are entitled to do so.
We use personal information to provide accountancy services under our contract with you; to meet legal obligations, including anti-money laundering requirements and the filing of statutory returns with HMRC and Companies House; and for our legitimate interests in administering the practice, maintaining records and responding to enquiries. Where we rely on consent, such as for a newsletter, you may withdraw it at any time.
Identity documents and verification records are collected because we are legally required to hold them. Providing them is a condition of us being able to act for you.
We share information only where necessary: with HMRC and Companies House to make filings on your behalf; with our accounting, filing and secure storage software providers; with our payroll partner where you have taken that service; and with professional advisers, or law enforcement and regulators, where we are required or permitted to do so by law. We do not sell personal information, and we do not share it for marketing purposes.
Some suppliers process data outside the United Kingdom. Where that happens, we take steps to ensure an equivalent standard of protection applies.
Anti-money laundering records, including identity documents and verification evidence, are retained for five years from the end of our business relationship or the completion of a transaction, as required by the Money Laundering Regulations 2017. Accounting and tax records are generally retained for six years from the end of the relevant accounting period. Enquiries that do not become engagements are deleted within twelve months.
You have the right to request a copy of the personal information we hold about you; to have inaccurate information corrected; to request erasure or restriction of processing; to object to processing carried out under legitimate interests; and to request your data in a portable format. These rights are not absolute. Where we are required by law to retain records, such as anti-money laundering evidence, we cannot delete them on request.
